How we work it

The NEC is not a hall, it is a site: twenty interconnected halls beside Birmingham Airport and Birmingham International station, with something in the order of 186,000 square metres of covered exhibition space. Exhibitors book a stand at the NEC and then find that the twenty halls are not twenty copies of one another. Clear height ranges from about ten metres in several of the numbered halls to roughly fifteen and a half in Hall 5. Floor plates differ, distance from the main visitor entrance differs, and the halls were built to carry different kinds of show.

So the first question on a Birmingham job is not the budget or the square metres — it is the hall, and the stand position inside it. SOL designs and builds across Europe, and what we bring to an NEC project is the reading of that specific hall: the height you can actually use, whether anything is allowed to hang above you, what the floor will take, and how the plot reads from thirty metres down a very long aisle.

On the ground

What the NEC halls actually allow

These are the constraints that decide a design. Confirm the specific hall and the event's own exhibitor manual before anything is locked — the NEC publishes technical information hall by hall, and the numbers move between them.

Clear height varies by hall

Hall 5 runs to roughly 15.5 metres; several halls sit near 10.6 metres and a number of the higher-numbered halls around 10. That spread is wide for one site and it changes the proportions of the same brief.

Rigging is venue-appointed

Overhead suspension goes through the NEC's approved riggers — you cannot fly a rig with your own crew — and the venue sets trim heights so no stand hangs lower into the sightline than its neighbours. Riggers build from your drawing exactly as issued.

Everything is at ground level

There are no galleries, no goods lifts to size components around and no upper-level distributed-load limits. A vehicle comes in on a marshalled slot and gets close to the stand position, so large prefabricated assemblies are practical.

The hall clusters have characters

Halls 1 to 5 sit closest to the station and main entrance and carry the big buying fairs; the central group was built for weight and volume and takes machinery and construction shows; the higher numbers carry a broad mix.

Stand plans and safety documentation run to organiser deadlines. Space-only stands normally need a stand plan, structural calculations above a height threshold, a risk assessment and a method statement, all submitted before build-up.

I ask for the hall number before I ask for anything else, including the budget. Fifteen metres of clear volume and ten metres are two different drawings, and I would rather find that out in the first conversation than in the third.

Drive-in access changes how we build, not just how we deliver. When a lorry can reach the plot, the stand goes into the truck in big finished pieces instead of being assembled from small ones on site. Fewer joints made at eleven at night is a better stand, and it is a quieter build.

The halls link together, so people walk through rather than around, and a plot on a through-route gets traffic from two directions on different days. I look at where the hall links and the entrances are before I decide which face of the stand is the front. Plot dimensions on their own tell you almost nothing about that.

Twenty halls, one site, and why the number matters

Exhibitors talk about the NEC as though it were a single room. It is a site of twenty interconnected halls, and they are not interchangeable. They differ in clear height, in the size and proportion of the floor plate, in how far they sit from the main visitor entrance, and in the kind of event they were built to carry. A stand conceived for one of them can be structurally wrong in another — not merely unflattering, but taller than the roof allows or heavier than the plan intended.

Two answers fix most of the design envelope: the hall number with the stand position inside it, and the event's own height regulation. Between them they settle how tall the structure can be, whether anything is permitted to hang above it, how the plot reads from the aisle and how large a single prefabricated piece can sensibly be. Everything after that — materials, layout, graphics, meeting space — is a genuine choice. The envelope is not, and confirming it in the first week is what stops a first design from becoming a first draft.

Height: from ten metres to fifteen and a half

Clear height at the NEC runs from around ten metres in several of the numbered halls to roughly fifteen and a half in Hall 5, with a group of halls sitting near 10.6 metres in between. That is an unusually wide spread for one ground, and it is the most consequential single difference between the halls. Fifteen metres carries a genuinely tall structure, a suspended banner well clear of the aisle line, and a double-deck with real headroom on both levels. Ten metres is still generous by European standards, but the same brief comes out in different proportions.

In practice the event's own regulation usually binds before the building does. Most organisers cap space-only stands at a working height — often in the region of six metres — and require structural drawings and sign-off above it, so the hall's fifteen metres is a ceiling you are unlikely to reach rather than a target to aim at. We work to the show's height rule first and check it against the hall's clear height second, because the two are set independently and the one that stops you is whichever is lower.

Rigging, and what it costs to get wrong

What the riggers work from is your drawing, and they build it as issued: point positions, loads, dimensions, orientation. A drawing that is out of date is not a small error at that stage, because the rig goes up before the stand does and correcting it on site costs money and build hours at the same time.

The expensive failure is the late specification — adding a hanging element after the rigging order has gone in, or finding at drawing stage that the load was underestimated. Both turn a planned cost into a rushed one at venue rates. We settle the rigging scope early, deciding what hangs, what it weighs and where the points sit, and we treat the submission deadline as a project milestone rather than a form to be returned. On a stand that is relying on an overhead banner to be found, that deadline matters more than the fabrication schedule does.

Ground level everywhere: what drive-in access changes

Every NEC hall sits at ground level. There are no galleries to build on, no goods lifts to size components around, and no upper-level distributed-load limits to design against. A vehicle comes in through the shutters on a marshalled slot and gets close to the plot. For anyone whose last build was in a city-centre venue where every component had to fit a lift car, this is a different kind of project, and it reaches back into the drawing rather than staying in the delivery schedule.

The stand can be made in larger prefabricated assemblies in the workshop and put together quickly on site. Fewer, bigger pieces means fewer joints made under time pressure, tighter tolerances, a cleaner finish and a shorter build-up. It also makes heavy elements practical rather than ambitious: solid joinery, a stone or tiled floor, a real bar, machinery on display, the columns of a double-deck. The slab was built for vehicles and behaves like it. We still check the point-load figure for the specific hall before anything with real mass enters a drawing, but at the NEC the answer is usually yes.

Reading the hall clusters

The halls group into clusters with characters of their own. Halls 1 to 5 sit at the western end, closest to the station and the main visitor entrance, and they carry the large buying fairs — Spring Fair and Autumn Fair fill the site in February and September. The central group was built for weight and volume and takes the machinery and construction events. The higher-numbered halls carry a broad mix, from specialist trade fairs to the big consumer shows.

The cluster matters for two reasons beyond height. Proximity to the entrance changes the direction visitors arrive from, which changes which face of your stand is really the front — a detail that decides where the reception point, the storage and the open corner go. And the neighbouring stands set the visual baseline you are measured against: in a machinery hall you sit among physically large exhibits and open floor, while on a gift and home floor you are among dense, close-packed, highly finished small stands. The same budget produces a different stand in each.

Stand types that suit an NEC hall

The NEC is one of the easier European grounds on which to justify a full custom build. Access is generous, the floor takes the weight, the height is there in the taller halls, and the rooms are big enough that physical presence pays for itself. A double-decker is genuinely viable subject to the show's rules and structural sign-off, and it buys meeting and hospitality space without buying floor area — which on a large space-only plot is the real argument for it rather than the visual one.

That does not make custom automatically right. For an exhibitor doing one UK show a year, or working across several European cities in a season, a modular stand system is often the better answer on its own merits: it breaks down predictably, it re-configures to different plot shapes and sizes between events, and it can be dressed with custom joinery, solid surfaces and full-height graphics until nothing about it reads as a system. The useful question is not custom against modular. It is how many times this structure will stand up, and in how many different shapes.

The shows, and the buyer each one brings

The NEC runs an unusually broad calendar across trade and consumer events, and the brief moves with the audience at least as much as with the architecture. Spring Fair and Autumn Fair bring retail buyers walking a very large floor with an order to place; they want product, price and range at speed, and a stand that hides its products behind a reception desk simply fails on that floor. MACH brings manufacturing engineers who will stand and watch a machine run for twenty minutes, so the stand's job there is to give them somewhere to stand and something worth watching.

Advanced Engineering, Automechanika Birmingham, the construction events and the large consumer shows each shift the brief again — toward technical conversation, toward vehicle and equipment display, toward demonstration and dwell. The common thread is that the NEC draws a national audience: a large share of the UK population is within a couple of hours by road, and most visitors arrive by car for a single day. Someone with a car park ticket and a list behaves differently from a delegate on the second morning of an international congress, and the stand should be planned for the person who is actually going to walk up to it.

Sightlines, aisles and being found in a very large room

An NEC hall is long, wide, evenly lit and largely clear of obstruction, which is a good problem and a real one. Nothing blocks the view, so a stand can be planned around how it reads from thirty metres rather than around a column that happens to land in the middle of the plot. But nothing screens your neighbours either, and a well-proportioned stand at eighteen or thirty-six square metres can disappear between two plots that went tall. Height, contrast and one legible message do more for findability in that room than fine detail does.

The halls also interconnect, so visitors flow through rather than around, and a plot on a through-route sees traffic from two directions on different days of the show. That is worth designing for deliberately: an open corner, a second point of entry, graphics that resolve from both approaches, and a layout that does not turn the stand's back on a live aisle. We work from the floor plan and the entrance positions, not from the plot dimensions alone, because thirty-six square metres beside a hall link is a different piece of ground from the same thirty-six metres mid-row.

Briefing an NEC stand: what to confirm first

A Birmingham brief that starts well contains six things: the hall, the stand number and its dimensions, whether the plot is a corner, an end or an island, the event's height regulation for that size, whether suspension is permitted and being ordered, and the organiser's deadline for stand plan approval. Most of it sits in the exhibitor manual on the day you book. Asking for it in week one rather than week six is the difference between a first design that can be built and a first design that has to be redrawn around a limit nobody checked.

We ask for eight to ten weeks on a custom NEC build, so the venue submissions and any rigging order run ahead of fabrication rather than beside it. One practical note, since exhibitors on the continent ask: bringing a stand into the United Kingdom involves border formalities, and we handle them as part of the job. It is a line on our checklist and it has no effect on what you can build. The hall decides that.
